BHSN BAND BOOSTER BOARD MEETING

AUGUST 26, 2003 AT 7:30 P.M.




Present: Legene White, Jane Weiser, Maggi Schuman, Joyce Schaar, Lisa Burnham, Donna Rinckel, Keith Korn, Karen Korn, JoAnn Clune, Terri Taylor, Beth Popplewell, Wendy VanderZee, Coco Cradick, Carole Moy, Linda Clemmer, Kent Dybvig, Claudia Scott and Karita Musgrave.


The meeting was called to order at 7:35.


Minutes: The minutes from the August 7, 2003 meeting were approved as submitted.


Treasurer’s Report: Maggi Schuman reported she had received donations to the band program. She feels that she should mention the donations so the individuals can be thanked for their contribution. Maggi will write thank you notes to them.


Maggi distributed a written treasurer’s report. Discussion was held regarding band fees collected and Macy’s trip fees collected. Not all marching band members have paid the Macy’s trip fees. Maggi indicated that Janis decides whether marching band fees can be applied to the Macy’s trip.


Maggi also reported that the repair of the brakes on the trailer cost $1,300.00. This repair came out of the regular band budget.


Committee and Event Reports


Car Washes: The last car wash for the summer will be August 30th.


Uniforming: Donna Rinckel reported almost all band members have uniforms except maybe three students. She thanked everyone who helped on Saturday, August 23rd and Monday, August 25th.


Pit and Guard, Flags, Crews & Chaperones: Keith Korn stated he had nothing new to report. He stated Gary Wohlafka had sent an email regarding dates and pit crew shirts. The pit crew would like to reuse pit crew shirts. Therefore, if anyone has a pit crew shirt and is willing to let it be recycled, they should contact Keith Korn.


Guard: Wendy VanderZee reported that volunteers have met three nights to make flags. They are purchasing two hot knives to help with the construction of the flags. There are to be four flags per guard member this year for a total of 80 flags. Flags from a previous season are being recycled this season.


Wendy asked Keith Korn about a screen that is a proposed prop for this year’s show. Keith stated that he was told it is to be 90 feet long and will be used by the guard to change uniforms. No final decision has been made about the screen.


Chaperones: Claudia Scott stated she had received great response from an email requesting chaperones. She will fill in the rest of the spots with chaperones from the people who volunteered on the registration form.


A discussion was held regarding the number of seats available on the buses for chaperones and guard moms. There are not as many open seats available this year because there are more kids in the band.


Football Concessions: Terri Taylor reported that the concession for the first football game went pretty well. There were typical first game problems but those were easily resolved. Terri stated that the athletic boosters have new leadership. Under the new leadership, athletic booster concession tent was open for most of the game. In the past, their concession has closed down once the football game starts. She also stated that usually there was communication between the booster clubs prior to the first football game to determine how the concessions would operate. Legene White stated she would contact Robin Cole for background and then would contact the athletic booster club. Terri stated that the previous policy was that the athletic boosters would sell concessions prior to the game and be closed for the game. In return for shutting down, the band boosters would pay the athletic department 12% of the profits.


Old Business:


New Board Members: Legene announced that Linda Clemmer has agreed to help Robin Rupp as volunteer coordinator. Linda reported that on September 7th they were making a mass calling for volunteers for the concessions for football and basketball. She asked if students could help with the concessions. It was suggested that Robin send a note to Janis to ask for student volunteers.


Discussion was held regarding the difficulty of getting volunteers. There was a suggestion made that Robin Rupp figure out how many volunteer hours it takes to run the band program. After determining the number of hours needed by each band family, create guidelines for parents so they know how many hours they are expected to volunteer. Discussion was also held regarding charging a fee for parents who would like to be placed on a “no call list.” Further discussion was tabled until the Board receives additional information.


New Business:


Back to School Night: Legene announced that Back to School Night is scheduled for Thursday, September 4th at 6:30 p.m. Legene asked the Board whether a table should be set up in the band room to sell spirit wear and to collect dues. Maggi Schuman said she would be in band room to collect dues and would be willing to sell spirit wear as well.


Legene asked the Board whether raffle tickets should be sold at a table set up in the commons. Coco Cradick suggested that Jazz band students be asked to sell raffle tickets since the marching band is practicing during Back to School Night.


Legene announced that Liz Notess and Paul and Jeannette Smedberg are working on shirts and hats for the Macy’s Parade. She emphasized that it should be made clear to parents that these shirts will be sold for cost. They are to promote spirit, not a fund raiser. If they are ready by Back to School Night, orders can be taken. All orders for Macy’s shirts are to be paid at the time of the order.


4th Street Fair: The band is sharing a booth with Jazz from Bloomington. Legene and Caitlin White will set up table. Legene stated that John Kinzer is to find out if the band can sell raffle tickets at the Fair. Sue Dybvig has set up a schedule of kids to sell tickets if the band is given permission to sell them. Everyone feels this is great PR for the band.


Fund Raising Reports


Raffle: Carole Moy reported that 90 students have checked out a total of 5510 raffle tickets. Janis talked with the band kids tonight about selling raffle tickets. It was suggested that raffle tickets be sold at the football games along with spirit wear. Legene will check with the athletic department about selling these items.


Donato’s: Legene announced Tuesday, September 2nd as the date of the fundraiser with Donato’s Pizza. The band will receive 10% of the profits from 5-9 for eat in, carry out and delivery. Donato’s has made flyers and are attaching them to their pizza boxes.


Jane Weiser volunteered to submit an article for Out and About in the Herald Times as well as sending a notice out on the band list serve and the Bloomington North list serve.


The band also can make additional money by selling Donato’s coupon books at a table in the restaurant. Discussion was held regarding getting volunteers to sit at the table and no decision was made whether to do this or not.


Barnes & Noble, Borders Fundraiser: Legene stated that it was brought to her attention that there is an opportunity for a fundraiser with Barnes & Noble or Borders. If either bookstore is contacted, the band could pick a date and receive a percentage of the sales for that day. In return, the band publicizes the event on behalf of Barnes & Noble and Borders. Carole Moy volunteered to contact the bookstores and set the first available date for this fundraiser.


PartyLite Candle Sale with South Band: Joyce Regester, President of the South Band, contacted Legene regarding the sale of PartyLite Candles in conjunction with South Band. After discussion, the consensus of the Board is to wait until after the raffle and evaluate if the band needs another fundraiser.


Longaberger Basket Fundraiser: Legene raised the Longaberger Basket fundraiser to the Board’s attention again. The Board was informed that the Orchestra has basket bingo as a fundraiser. The consensus was the Band could not infringe on the Orchestra’s fundraiser.


Macy’s Parade: A report from Beth Crain stated that there are 29 people signed up for the fan bus. One more person is needed. Beth is positive she will get the commitment so a fan bus can be taken to the Parade. The first payment for the fan bus is due August 30th.


The Broadway ticket request is being handled by Janis.


Coco Cradick reported that a billboard is going up on Old Highway 37 just past TIS. She also stated the band is to receive a free Insight commercial. Logan Cradick is doing an interview from which sound bites will be used from now until Macy’s Parade. Legene White is to contact WTIU regarding publicity.


The meeting was adjourned at 9:00 p.m


The next Board meeting will be September 16, 2003 at 7:30 p.m.
